Documentation Requirements

Each season, all AAYFL member clubs must submit the following documentation to the AAYFL prior to September 1.

  • Team rosters for all grades
  • Club Weight Verification form
  • Club School Verification form

This documentation ensures clubs have completed all necessary steps to ensure compliance with league rules as it relates to

  • Uniform numbering
  • Ball carrier eligibility
  • Residency eligibility

Failure to submit this documentation by September 1 will result in fines and potential suspension and forfeitures of games.

Below are tutorials for the completion and submission of all necessary documentation.  Please read thoroughly and follow these steps and you should have no problem completing all requirements.


STEP 1 - UPLOAD ROSTERS FOR PRIVATE PAGE AND PUBLIC TEAM PAGE

A private page for all roster documentation has been created for each of our clubs.  To access this private page you must have administrator rights on our website.   

Hover on CLUB PAGES on the top menu from any page and hover over your club name.   You will then see the private page, Roster Documents.

If you do not see the Roster Documents page first ensure you are logged into your account.   If you still do not see the page after you are logged in please send an e-mail to web@aayfl.org to request administrator rights.  Please ensure you include:

  • Your name
  • Your e-mail address
  • Club

UPLOAD TO ROSTER DOCUMENTS PAGE (PRIVATE)

At the top of the page you will see a link to the MASTER ROSTER TEMPLATE form.   Click on that link and download a copy of the template to your computer.  Rename the template to include your club name.  (i.e. 2017 Roster Template - Greenfield)

Once you have downloaded the form, fill in the template with information for all players.  Please use one form for all teams in your club. (All fields are required EXCEPT height and position)

In the upper left area of the webpage, you will see two icons: (1) An “Admin” gear icon, and (2) an “Edit Mode” toggle switch icon. BE SURE TO TOGGLE THE EDIT MODE switch to “ON” in order to see the webpage as shown in the screen print to the right.   

Next, click on the gear icon and choose Edit Document (It is on the right side of the screen and is quite small!!  See Tab 4 - Gear Icon if you need a visual of what it looks like!).  You will then see a pop window and a place for you to choose a file to upload.  Click Choose File and then find the template you created and saved to your desktop and choose it.  (The file name MUST not be the same as what is already there - 2017 Master Roster Template)

Click OK to close the pop-up window and then click on the file to confirm it uploaded properly and all your roster information is there.

UPLOAD ROSTERS TO TEAM PAGES (PUBLIC)

Next you will want to make a template for each team to upload to each of your team pages.   Choose one of your teams and keep only the players on that team.  Delete all information after Column D and then delete all players not on the team you have chosen.  Save your file with a new name (i.e 2017 Greenfield Roster Template - 8th Grade).  Close that file and reopen the Roster Template - Public file and repeat the same steps for the next team.  When finished you should have a roster template for each of your teams.

Go To Your Club Page and Choose a Team To Upload

1.  Hover on CLUB PAGES and click on your team.

2.  Click on the first team on your team button list

3.  Select the ROSTER tab

4. Click on ADD A PLAYER

5.  Choose Import from Excel and click on Choose File

6. Select your PUBLIC TEMPLATE file for your team and click ADD PLAYERS TO ROSTER

You should now see your team's roster.  Repeat the steps above for each of your remaining teams.


Step 2 - Upload The Club Weight Verification Form

Access your club's private "Roster Documents" page as shown above and scroll to Weight Verification Form.   Download the template, complete it with your club's necessary weight verification information, and then save it with a new name.

Click on the gears icon and choose Edit and then replace the template file with your completed file and upload.

STEP 3 - UPLOAD THE SCHOOL VERIFICATION FORM

Access your club's private "Roster Documents" page as shown above and scroll to School Verification Form.   Download the template, complete it with your club's necessary school verification information, and then save it with a new name.

Click on the gears icon and choose Edit and then replace the template file with your completed file and upload.
